PA to Managing Director

Our rapidly growing national business is looking for a full-time PA to Managing Director to join our Head Office Team based in Ipswich.

The Principals of Universal started in private practice over twenty years ago and have helped thousands of clients across the country protect their families. Today they operate a multi-disciplinary practice that brings the skills of Solicitors, Accountants, Chartered Tax Advisors and Chartered Financial Planners together under one roof to provide a holistic range of traditional and specialist estate and tax planning solutions to clients nationwide.


Purpose of Role

The main purpose of the role will be the provision of admin and secretarial support to the Managing Director. The role will be highly varied and will involve full diary and inbox management, preparation/collation of board packs, taking minutes in meetings, coordinating travel arrangements, arranging internal meetings and key client meetings. You will be responsible for the general effectiveness of the Managing Director by providing information management support and act as a representative for the Managing Director as required.

Main Responsibilities

  • Drafting letters, documents, presentations and reports.

  • Managing the Managing Director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.

  • Deflecting unwanted interruptions and taking on all tasks that need not be dealt with by the Managing Director.

  • Proactively managing the Managing Director’s diary and email inbox.

  • Handling confidential information.

  • Taking minutes at meetings when required.

  • Supporting other departments with general administration tasks as required.


The Ideal Candidate

The ideal candidate will be someone who has a minimum of two years PA/Secretarial experience and supported a Director in their previous roles(s).

  • Highly organised and proactive

  • Proven problem solver, reacting quickly to arising issues

  • Excellent communication skills verbal and written,and a professional telephone manner

  • Confident and a professional manner

  • Proven ability to work under pressure

  • Attention to detail

  • Good commercial awareness

  • Excellent computer literacy (MS Office, Excel, PowerPoint)

  • A real team player

  • Well-presented and personable
